Position Overview – Why This Role Matters

The Authorization Data Entry Specialist is the backbone of our authorization workflow. You will be responsible for the meticulous entry, verification, and management of allocation data, scheduling Board Certified Behavior Analyst (BCBA) calendar invites, and processing a variety of assessment and testing requests. By centralizing these critical tasks, you will free up clinical and operational teams to focus on direct service delivery, thereby increasing overall productivity and ensuring compliance with industry standards.

Key Responsibilities

Core Data Management Duties

  • Allocation Data Entry: Accurately input allocation information into careerzynith’s proprietary systems, maintaining up‑to‑date records and performing routine audits for data integrity.
  • Authorization Detail Recording: Promptly capture confirmed authorization details, ensuring that every entry reflects the latest status and is readily accessible for reporting and billing purposes.
  • Quality Assurance: Conduct regular cross‑checks between source documents and system entries, flagging discrepancies and collaborating with the compliance team to resolve them.

Calendar & Scheduling Coordination

  • BCBA Calendar Invites: Create, send, and manage calendar invitations for BCBA sessions, coordinating with clinicians, families, and external partners to guarantee timely and conflict‑free scheduling.
  • Meeting Follow‑Up: Track attendance, send reminders, and update the system with outcomes or notes from each session, ensuring a complete audit trail.

Assessment & Testing Administration

  • Psychological Testing Requests: Receive, verify, and forward testing requests to the appropriate assessment teams, confirming that all required documentation is attached and compliant with regulatory guidelines.
  • Initial Assessment Requests: Manage the intake of initial assessments, coordinating with intake coordinators to collect necessary background information and schedule evaluations.
  • Documentation Management: Store and organize all related paperwork in careerzynith’s secure cloud repository, adhering to HIPAA and other confidentiality standards.

Productivity & Operational Excellence

  • Process Optimization: Identify bottlenecks in the authorization workflow and propose enhancements that streamline operations and reduce turnaround time.
  • Reporting Support: Generate weekly and monthly reports on authorization volume, processing times, and error rates to inform leadership decisions.
  • Team Collaboration: Work closely with the MNS and ADV teams (renamed under careerzynith) to ensure that data flows smoothly across departments, supporting overall organizational efficiency.

Essential Qualifications
