Role Summary The Operations Coordinator, Office of the COO, will provide administrative and coordination support to the team in the COO’s office. This role will ensure that the Office of the COO operates with strong rhythm, follow-through, and attention to detail. The ideal candidate is a reliable operator who is comfortable managing calendars, coordinating meetings, preparing materials, tracking follow-ups, organising information, and supporting day-to-day execution. They should be highly responsive, discreet, structured, and able to work in a fast-moving environment with multiple priorities. This is a critical support role for someone who enjoys making senior leaders more effective, keeping work organised, and ensuring that important details do not fall through the cracks. The role will have a dual reporting line to the COO and the Chief of Staff to the COO. Specific Responsibilities Executive and Administrative Support Provide day-to-day administrative support to the COO’s office. Responsibilities may include: Managing calendars, scheduling meetings, and resolving calendar conflicts. Coordinating internal and external meetings, including agendas, materials, logistics, and follow-ups. Preparing briefing packs, meeting documents, and supporting materials. Supporting travel planning, itineraries, accommodation, and logistics where needed. Managing expense submissions, reimbursements, procurement requests, and basic administrative processes. Supporting document organisation, file management, and information retrieval. Ensuring the COO is prepared for key meetings and commitments. Project and Workstream Coordination Support Assist the COO’s office with coordination across priority projects and cross-functional workstreams. Responsibilities may include: Maintaining project trackers, timelines, milestone updates, and status documents. Following up with project owners on deliverables and deadlines. Helping organise project meetings, workshops, retrospectives, and planning sessions. Supporting the preparation of project updates and progress reports. Tracking risks, blockers, and dependencies for escalation. Ensuring that project documentation is up to date and easy to access. Communication and Stakeholder Coordination Help the Office of the COO communicate clearly and consistently with internal and external stakeholders. Responsibilities may include: Drafting emails, meeting notes, reminders, and internal updates. Coordinating communications between the COO's office and functional & regional teams. Managing stakeholder lists, contact information, and distribution groups. Supporting the preparation of leadership updates, presentations, and announcements. Ensuring timely responses to requests and helping route issues to the right owners. Office Operations and Rhythm Support the overall effectiveness, organisation, and rhythm of the Office of the COO. Responsibilities may include: Maintaining team calendars, planning rhythms, priority trackers, and shared folders. Supporting quarterly planning, sprint planning, retrospectives, and operating reviews. Helping coordinate leadership offsites, workshops, team sessions, and all-hands preparation. Creating structure where needed so that information, decisions, and follow-ups are easy to find. Identifying opportunities to improve administrative processes and office routines. Ideal Candidate Profile We are looking for someone who is organised, proactive, dependable, and highly detail-oriented. The ideal candidate will bring: 2+ years of experience in administration, executive support, operations coordination, project coordination, or a similar role. Strong calendar management and meeting coordination experience. Excellent organisational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines at the same time. High level of discretion, professionalism, and judgment. Strong follow-through and comfort holding others accountable to agreed actions. Ability to work independently, anticipate needs, and solve problems proactively. Comfort working with senior leaders and cross-functional teams. Strong proficiency with productivity tools such as Google Workspace, Microsoft Office, Slack, project trackers, and calendar tools. Nice to Have

Experience supporting a C-level executive, senior leader, or leadership office. Experience in a fast-paced, high-growth, start-up, education, social impact, or pan-African organisation. Experience coordinating cross-functional projects or leadership routines. Familiarity with project management tools such as Asana, Monday.com, Trello, ClickUp, or similar. Experience supporting distributed or remote teams across multiple countries or time zones.
