Job Title Senior New Patient Coordinator Location Remote Time Zone US Time Zones (EST–PST) – Primary coverage aligned with East Coast hours Role Overview We are seeking a full-time Senior New Patient Coordinator to manage inbound patient inquiries—primarily via SMS—and conduct scheduled phone consultations as needed. This is not a high-volume, script-driven call center role. Instead, you will build trust through thoughtful, consultative conversations, guiding prospective patients toward the appropriate next step in their care journey. This role requires consistent daytime availability and rapid response times when new inquiries are received. While lead flow may vary throughout the day, you are expected to remain attentive and ready to engage promptly. This position is ideal for someone empathetic, highly responsive, detail-oriented, and comfortable discussing health and wellness topics in a professional, patient-centered manner.

Key Responsibilities

Monitor and respond promptly to inbound SMS inquiries with professionalism and warmth Conduct consultative conversations to understand patient goals, treatment history, and concerns Schedule consultations using Calendly or similar scheduling tools Accurately document patient information and interactions within CRM and EHR systems Execute timely, personalized follow-ups to support appointment conversion Maintain strict patient confidentiality and ensure accurate record-keeping Collaborate with internal team members to ensure smooth patient onboarding Required Qualifications 3+ years of experience in patient coordination, intake, client services, or a similar consultative role Excellent written communication skills for SMS-based outreach and strong verbal communication for phone consultations Proven ability to build rapport, demonstrate empathy, and guide conversations with confidence Proficiency with CRM systems, scheduling tools, and managing multiple systems simultaneously Basic to intermediate Excel skills (data entry, formatting, simple formulas) Reliable high-speed internet and a professional remote work environment Must have prior remote work experience, be fluent with remote collaboration tools and platforms (such as Slack, Zoom, Google Workspace, Asana, or similar), and have ideally worked with US or UK-based companies. Preferred Qualifications

Experience in healthcare, telehealth, wellness, chiropractic, physical therapy, concierge medicine, or related environments Familiarity with Go High Level, DrChrono, or similar CRM/EHR systems Experience handling SMS-based patient conversion or intake conversations Background in healthcare administration or patient onboarding Tools & Technology Go High Level (CRM) DrChrono (EHR) Calendly or similar scheduling tools SMS communication platforms Google Workspace Excel Please NOTE It is crucial that you complete the application form in full.
